Health Records Administrator - Permanent Full-Time

POSITION SUMMARY

 

The Health Records Administrator is responsible for accurate and timely DAD and NACRS coding and abstracting and assists with Health Records Clerk duties as assigned.

RESPONSIBILITIES:

 

Coding and Abstracting:

  • Perform NACRS coding and abstracting of Emergency Room, Day Surgery and Oncology (Chemotherapy) records
  • Perform DAD coding and abstracting for all inpatient records
  • Review error reports and process corrections
  • Assist with monthly CIHI and mandatory quarterly Ministry of Health submissions

Release of Information:

  • Process “Release of Information” requests, logging required information for annual IPC statistical reporting
  • Create invoices for “Release of Information” services

Processing of Admissions & Discharges:

  • Process Inpatient Discharges, including scanning records, auditing record for completion, flagging all deficiencies and abstracting the data into Med2020 WinRecs software.

Processing Outpatient Records:

  • Check records; scan documents to patient account.
  • Scan records to Meditech Expanse eChart.

Other Departmental Duties:

  • Perform Meditech chart maintenance as required
  • Assist in the preparation of records for Death Chart Review
  • Assist in month-end statistics
  • Attend monthly ONE HITS/Regional meetings (as applicable)

Day Surgery/Specialist Clinics:

  • Locate and deliver charts for Day Surgery and Specialists Clinics
  • Scan patient records to Meditech Expanse

Reception:

  • Perform department reception duties
  • Respond to clinician requests
  • Respond to internal and external general requests

Record Retention:

  • Review, record and prepare appropriate charts for destruction

Admitting:

  • Assist with switchboard, reception and admitting duties as required

Other Duties:

  • Appear in court with subpoenaed medical records, as required
  • Assist with the training of clerical staff

  • Be familiar with procedures to be carried out in the event of a disaster (Emergency Preparedness Plans)

  • Proficiency in computer software applications: Microsoft Office, Excel, Meditech Expanse HIM, REG/CWS, EMR, Policy & Procedures platform, Med2020 WinRecs, Learning Management System
  • Keyboarding skills
  • Knowledge of PHIPA (Personal Health Information Protection Act)
  • Knowledge of Public Hospitals Act
  • Proficiency in Med2020 WinRecs abstracting/coding standards
  • Proficiency in ICD10 and CCI coding conventions
  • Proficiency in Folio Views software
  • Knowledge of medical terminology


QUALIFICATIONS (Education, Certifications, Experience, Licensure):

 

Required:

 

  • Current CHIM certification with Canadian Health Information Management Association
  • Computer experience
  • Mandatory proof of fully immunized COVID—19 vaccination status

 

Preferred:

 

  • Two years relevant hospital experience

 

OTHER QUALIFICATIONS:

 

  • Ability to provide regular attendance.
